Transforming dozens of simultaneous launches into award-winning web experiences

How Quantious brought structure, visibility, and cross-functional alignment to help deliver unified high-profile web experiences under tight deadlines.

Our global technology client launches a major web experience twice a year. Each experience is designed to bring merchants and developers up to speed on the client’s newest products, tools, and announcements. Behind each launch is a complex network of teams, deliverables, and deadlines—all moving toward the same immovable launch date.

Quantious was brought in to transform this complex process, streamlining efforts and acting as a centralized source of truth. Together with the teams, our goal was to establish project management processes that would keep stakeholders informed and deliverables moving forward.

The Challenge

With multiple product teams sharing contributions for each experience, the challenge was to provide and maintain visibility across interconnected workstreams. This proved to be complicated as priorities, deliverables, and launch dependencies continued to evolve, right up until launch day. Tight deadlines required clear organization, with a centralized view of what was happening, when each item was due, and who needed to be informed. Without this, teams risked losing valuable time tracking down updates, not to mention missing deadlines altogether.

Our Approach

Rather than asking individual teams to independently manage overlapping timelines and communications, Quantious got started by creating a single operational source of truth. From there, we built the infrastructure around the launch cadence. Project trackers gave teams visibility into the status of individual deliverables, while detailed workback schedules connected all of that work to critical deadlines. To organize communication for each workstream, we created dedicated Slack channels, making it easier for teams to find the right conversations and stay up-to-date without sorting through unrelated efforts.

Getting the right tools and systems in place were only one half of the solution. The other half involved Quantious staying close to the production work, managing all of the details and coordinating all launch efforts. This involved proactively gathering status updates, tracking down missing assets and approvals,  and keeping stakeholders informed as deadlines approached. Instead of leaving teams to piece together information themselves, we served as the main point of contact and source of truth, maintaining a clear picture of the work to keep everyone moving forward. By stepping into this project, our goal wasn’t to add another layer of project management but rather to make a complex launch feel easier for everyone involved.

The Impact

Quantious helped establish the processes, improving stakeholder visibility into deadlines, deliverables, and cross-functional communication. With the foundation in place, the team now has a repeatable project management system that enables them to successfully coordinate these complex twice-yearly launches.

Beyond having a new, repeatable system to use for future launches, our support delivered a major win for the client. In 2024, the web experience was named a Webby Awards Honoree for Best User Experience in Websites and Mobile Sites and a Webby Awards Nominee for Best Navigation/Structure in the same category.
