Streamlining an event content launch with precision DAM management

Quantious enables one of the smoothest global embargo releases to date—uploading 4,000+ assets across 22 countries in record time.

As our partner, a global retail team, prepared for their 2025 keynote and developer event, timing and precision were everything. Thousands of assets spanning regions, partners, and SKUs needed to be uploaded and perfectly organized in their Digital Asset Management (DAM) system before the global embargo lifted.

Quantious was brought in to make sure every file, tag, and portal was ready for launch—transforming a massive logistical challenge into a seamless release.

The Challenge

With less than two weeks before the global event, the client faced a critical task: upload and organize more than 4,000 digital assets spanning multiple regions and product lines. Each asset needed to be correctly tagged, organized, and made available to 95 partner portals covering 22 countries.

The stakes were high. Any delay or mislabeling could compromise the embargo timeline and disrupt a carefully coordinated global rollout.

Our Approach

Quantious immediately established a structured, scalable process to manage intake, metadata organization, and upload sequencing across all regions.

Our team handled:

  • 95 partner portals

  • 113 SKUs

  • 22 countries

  • 350+ metadata fields

  • 4,000+ assets

We prioritized organization and clarity, ensuring every asset was properly tagged, categorized, and linked to the correct product and region. By front-loading the work—verifying metadata accuracy and upload readiness—we eliminated the last-minute scramble that often accompanies global embargoes.

This approach allowed every regional and partner team to access their assets immediately once the embargo lifted, without bottlenecks, confusion, or system delays.

The Result

The outcome spoke for itself: one of the smoothest embargo releases the client had ever experienced.

Because Quantious had preloaded, validated, and organized all assets in advance, the global retail team was able to release all materials and update partner portals within 15 minutes of the embargo lifting.

What could have been a chaotic, cross-regional challenge became a showcase of precision, teamwork, and DAM efficiency—setting a new internal benchmark for future global launches.

What’s Next

With a proven process now in place, future events can leverage the same structure for faster uploads, consistent metadata, and reliable global releases, reducing risk and freeing up teams to focus on creative impact instead of logistical execution.

Smooth launches start with smart systems.
