From seven workstreams to one seamless launch

How Quantious orchestrated seven broadcast-quality technical product announcement videos by removing friction at every step.

Our client began preparing for their highest-profile event of the year, and the stakes couldn't have been higher. Seven product teams needed to create, record, edit, and deliver technical product videos for their new releases—all in time for the live broadcast. Each video required script writing, visuals, video production, coordination across agencies and stakeholders, as well as legal and brand approval.

The timeline was already tight when Quantious was brought in. With no flexibility to change the event date, and with parallel workstreams all competing for attention, the client needed a centralized, self-sufficient partner who could absorb complexity and keep the project on track.

The Challenge

The teams responsible for each of the seven technical product videos needed to create the presentations being featured in the videos, write the scripts, get legal and brand sign-off, record, edit the videos, and gain final approvals across multiple stakeholders. Each step of the process faced its own deadline, with virtually no wiggle-room to adjust the schedule.

At the center of the project, the client's primary stakeholder was responsible for overseeing all of this. Already stretched thin, he was inundated with a constant stream of chats and file versions across dozens of contributors. Without a centralized coordination process, the project was facing delays that could have jeopardized product announcements and placed unnecessary strain on already-stretched teams.

Our Approach

With the event date approaching, our strategy focused on removing friction to make things as easy as possible for teams. Quantious became the primary point of contact for every participating team, shielding the client's primary stakeholder from the day-to-day management while ensuring presenters, design and production agencies, and reviewers always knew where things stood (and what was needed of them).

To keep the primary stakeholder (and leadership) up-to-date, we centralized details in a status tracker organized by video with simple 🟢🟡🔴 indicators to communicate progress, blockers, and action items.

Content development proved to be the most important (and most challenging) step in the process. Many presenters were stretched thin with their day-to-day responsibilities on top of having to create slides for products still in development. Instead of asking them to draft scripts and presentation outlines from scratch, we collected available product documentation and supporting materials to input into their internal AI platform, Manus. After reviewing and refining the outputs, we shared them with presenters and indicated that the outlines were created with the help of AI to give them a starting point to work from under the tight timeline.

Though Manus was helpful in generating those first drafts, it wasn't the right answer for every challenge. We tested whether it could also create presentation designs for the teams to start from, but the results fell short of our quality standards, producing inconsistent, off-brand slides that required extensive manual correction. Rather than forcing an ineffective solution, we pivoted and partnered with a design agency already under contract with the client to polish each presentation without jeopardizing timelines.

To keep things on track, Quantious designed a workflow that ensured every dependency happened in the right order, with the right people, at the right time. We coordinated recording schedules across three locations, tracked legal and brand approvals, maintained feedback logs, updated production schedules, and continuously adjusted plans as priorities shifted. When presenters missed deadlines or late-stage feedback threatened downstream work, we worked directly with stakeholders to keep things on track.

The Impact

By serving as the central point of coordination, we removed the day-to-day operational burden from the primary stakeholder while giving teams a clear, streamlined process. Despite the tight timeline, Quantious successfully delivered all seven videos in time for the event, ensuring every planned product announcement launched as scheduled.

After the event, all seven videos were published on YouTube and Facebook and generated over 100K views in just a few days.

"[Quantious] has been a true partner in this - taking action as much as possible and escalating to me when needed. When escalating, communication was top-notch: exactly the level of detail required, made simple for me (a busy person with all the other workstreams!) to digest and make an informed decision. The team was able to navigate ambiguity, delays, and tight timelines flawlessly."
